Tashly Reels 01 – If You’re Not Reconciling Your Accounts, You’re Guessing
Most business owners look at their bank balance and assume they know how their business is performing. Unfortunately, that number rarely tells the whole story. That’s where reconciliation comes in. If you’re not regularly reconciling your accounts, you’re not working from accurate financial information — you’re making decisions based on assumptions.

What Is Reconciliation?
Reconciliation is the process of checking that your accounting software matches what’s actually happening in your business.
This means ensuring that:
• Bank transactions match your bank account
• Customer invoices match payments received
• Supplier bills match payments made
• Credit card transactions are correctly recorded
• Payroll and other liabilities are accounted for
In platforms like Xero, reconciliation helps create a clear and accurate picture of your business finances. Think of it as balancing the books against reality.
Why Reconciliation Matters
Many business owners assume that because transactions are flowing through their accounting software, everything must be correct. The reality is that mistakes happen all the time.
Common issues include:
• Duplicate transactions
• Missing invoices
• Incorrect GST coding
• Payments allocated to the wrong customer or supplier
• Unrecorded expenses
• Bank feeds that have stopped syncing
Without regular reconciliation, these issues can sit unnoticed for months
The Hidden Cost of Unreconciled Accounts
When your accounts aren’t reconciled, the numbers you rely on may not be accurate.
This can lead to:
• Incorrect Profit Figures
You might think you’ve had a profitable month when outstanding bills haven’t been recorded. Or you may think cash flow is tighter than it really is because customer payments haven’t been allocated correctly.
• GST and BAS Errors
GST reporting relies on accurate bookkeeping. If transactions are coded incorrectly or missing altogether, your BAS may not reflect the true position of your business. This can create unnecessary stress at lodgement time and potentially result in costly corrections later.
• Poor Business Decisions
Business owners use financial reports to decide when to hire staff, invest in equipment, increase marketing spend, or pay themselves. If the underlying numbers aren’t accurate, those decisions become much riskier.
How Often Should You Reconcile?
The answer depends on your business. For most businesses, the more often, the better. Some businesses need to reconcile daily, while others can space it out to weekly or fortnightly reviews. The key is consistency. The longer reconciliation is left, the more difficult and time-consuming it becomes to untangle issues.
Warning Signs Your Reconciliation Is Behind
You may need to catch up your bookkeeping if:
• You’re unsure whether your bank account is fully reconciled
• Your Xero dashboard doesn’t seem to match reality
• BAS preparation feels stressful every quarter
• You have old transactions sitting unreconciled
• You’re avoiding looking at your financial reports because you don’t trust them
If any of these sound familiar, you’re certainly not alone. Many small business owners start out managing their own bookkeeping before realising that staying on top of reconciliation takes more time and expertise than expected.
